What does Selva Infotech do?
We provide medical and dental revenue cycle management (RCM) for US practices: eligibility and benefits, prior authorizations, coding, charge entry, claim submission, payment posting, AR follow-up, denials and appeals, credentialing, patient billing and reporting. Work is delivered by senior-led, dedicated pods from our secure delivery center in Ahmedabad, India.
Who do you work with?
Independent physician practices, multi-provider and multi-specialty groups, specialty clinics, general and specialty dental offices, and DSOs or multi-location dental groups. See Specialties for the medical and dental specialties we support.
Do I have to outsource my entire revenue cycle?
No. Choose the full cycle, or only the areas you need, such as AR follow-up, payment posting, insurance verification or credentialing. Many practices start with the area that hurts most and add more later.
How experienced is the team that would work on my account?
Our US RCM specialists bring deep, hands-on US RCM experience, and every pod is led by a senior billing professional. You work with the same dedicated pod, not a rotating pool.
Is there a minimum practice size or claim volume?
We work with single-provider offices up to multi-location groups and DSOs, and size the engagement to your volume. There are no minimum volumes or minimum fees.
Do you offer a trial?
We start with a free billing audit, so you can see how we think and what we find before you commit to anything. The audit is free and carries no obligation.
Can you share references?
Ask us during your discovery call and we'll tell you exactly what we can share.
Can we visit the delivery center or see it on video?
Our delivery center is at Office Nos. 1608–1611, Altimus, Shreyas Colony, Navrangpura, Ahmedabad. Yes. We welcome in-person visits and can arrange a live video walkthrough at a time that suits you.
Which company would we contract with?
Selva Infotech is the India-registered affiliate of Selva Infosys LLC in the US: the same team, services and delivery center. US clients contract with Selva Infosys LLC; clients outside the US may contract with Selva Infotech (India). Whichever entity you contract with signs your BAA.
Onboarding & transition
How long does onboarding take?
Typically a few weeks. Week 1: discovery, secure access and the signed BAA. Week 2: payer rules and workflows are mapped and our team shadows yours. Weeks 3–4: your dedicated pod goes live, with quality checks on the output and regular check-ins.
Will there be a gap in claim submission while we switch?
The plan is designed to avoid one. Your current process keeps running while we map and shadow in week 2, and work moves over in agreed stages during go-live, with QA checks before each handover.
What do you need from us to get started?
A signed BAA, secure user access to your PM/EHR, clearinghouse and payer portals, your payer list and fee schedules, current AR aging, recent denial history, and your adjustment and write-off policies. We'll send a simple checklist in week 1.
Who manages the transition?
Your senior pod lead runs onboarding end to end and is your day-to-day point of contact. On your side, we only need one person who can answer workflow questions and approve access.
Can you take over from our current billing company?
Yes. We'll plan the handover around your current vendor's notice period, take over open AR and work-in-progress, and document anything that was handled informally.
Will you work our old AR, or only new claims?
Both. Old-AR recovery is one of our core services. We can work aged balances alongside new claims, or as a separate clean-up project.
What will my office still be responsible for?
Usually clinical documentation, collecting patient information at check-in, patient conversations at the front desk, and approving items such as write-offs and refunds. We agree the split clearly during mapping so nothing falls between teams.
Pricing & billing
How much does it cost?
Every quote is custom, because cost depends on your specialty, volume, scope and the model you choose. You'll get a clear, written quote before any work begins, usually after your free billing audit.
What pricing models do you offer?
Percentage of collections, dedicated FTE, per claim or transaction, hourly or task-based, and hybrid. See Pricing Models for a side-by-side comparison.
Are there setup fees, minimums or hidden charges?
No hidden fees. Every fee is spelled out in your written quote, so there are no surprises. There is no setup fee and no minimum.
With percentage pricing, is it a percentage of charges or collections? How are refunds handled?
Our percentage model is based on collections, not charges. How refunds and recoupments are treated is defined clearly in your agreement.
What's included, and what costs extra?
Your quote lists exactly which services are included, for example credentialing, patient statements or reporting. If you later add scope, we'll quote it in writing before starting.
Is the free billing audit really free?
Yes. No cost and no obligation. With limited, secure access (BAA first), we review your revenue cycle and share clear, prioritized findings.
Security, HIPAA & data access
Are you HIPAA compliant?
Yes. We operate as your Business Associate under HIPAA and sign a Business Associate Agreement with every practice before accessing any patient data.
How does your team access our systems?
Through secure VPN / remote access over encrypted connections, using user accounts you provision and can revoke at any time. Access is role-based, so each person sees only what their role requires. Multi-factor authentication and virtual desktops are used, managed by our internal IT team.
Is patient data stored on your computers?
We work inside your systems, so your data stays in your PM/EHR. No PHI is stored on local machines, USB and removable media are not permitted, and personal phones are not allowed at workstations.
Do you hold SOC 2, ISO 27001 or HITRUST certification?
We don't claim third-party security certifications. Our safeguards are described plainly on our Security Practices page, and we're happy to complete your security questionnaire. If your organization requires a specific certification, we can discuss it during discovery.
What physical security does the delivery center have?
Work is delivered from a secure, access-controlled facility, with private cabins for leads and sensitive calls. USB and removable media are blocked and personal phones are not allowed at workstations.
Do your staff sign confidentiality agreements? Are they screened?
Every team member signs an NDA. Team members are background-checked and receive HIPAA training.
How would we be notified of a security incident?
As required by HIPAA and the terms of your BAA. Any shorter contractual notification window is agreed in your BAA.
Do you use subcontractors who would touch our PHI?
No subcontractors touch your PHI. If any subcontractor were ever involved, HIPAA requires them to sign a BAA too, and we would disclose them to you.
Do we get audit rights?
We're open to reasonable security reviews and questionnaires. Yes. Clients can audit us, as defined in the terms of your contract.
What about business continuity, such as power or internet outages?
Continuity arrangements are shared during discovery and set out in your agreement, so you know exactly how work is protected.
Software & systems
Which systems have you worked in?
Our team has hands-on experience with medical platforms such as Epic, eClinicalWorks, athenahealth, AdvancedMD, Kareo / Tebra, NextGen and DrChrono, and dental platforms such as Dentrix, Eaglesoft, Open Dental, Curve and Denticon. This describes experience only; no partnership or endorsement is implied.
Do we have to switch software?
No. We work inside your existing PM/EHR, clearinghouse and payer portals. No migration and no new software for your team to learn.
What if our system isn't on your list?
Tell us which one you use. Most RCM workflows carry over between systems, and week 2 of onboarding is spent mapping your exact workflows before go-live.
Do you use your own clearinghouse or tools?
We use your clearinghouse and portals, with credentials you control, so your claim history and data stay in your systems.
Do you use automation or AI?
Yes. Our internal team builds custom AI and automation tools around each client's workflow to improve accuracy and speed. Every claim and follow-up is still owned by a person in your dedicated pod.
Communication, hours & reporting
Who is our point of contact?
Your senior pod lead: one named person who knows your account, runs your check-ins and escalates anything urgent. You also have direct access to our leadership team.
What hours do you work? Will you cover US business hours?
India's working day falls during the US night, so much of the processing can happen overnight for you and be ready by your morning. We work in whichever US time zone you need, so your pod is available during your business hours.
How do we communicate day to day?
Email and phone, plus scheduled video check-ins. We can work in the tools you already use; the setup is agreed during onboarding.
How fast will you respond?
As soon as possible. Response-time commitments are agreed to match your needs.
What reports will we get, and how often?
Regular KPI reporting on collections, AR and denials, in a format agreed in week 2, plus insights on root causes and recommended front-end fixes. You get both weekly and monthly reports.
Can we see what your team actually did?
Yes. Work is done and documented in your own systems: claim notes, follow-up notes and posting history sit in your PM/EHR where you can review them at any time.
Will your team talk to our patients?
Only if you want it to. Patient billing and calls are an optional service. Many practices keep front-desk conversations in-house and outsource the payer-side work.
Quality & accuracy
What is your clean-claim, denial or collection rate?
Results depend heavily on your specialty, payer mix and starting point, so we don't quote blanket figures. Instead, your free audit establishes a baseline, we agree the KPIs that matter to you at kickoff, and we report against them regularly.
How do you check quality?
Every pod includes a QA and reporting role. Output is quality-checked during go-live and reviewed on an ongoing basis. The QA approach is shared during discovery.
Are your coders certified?
Our specialists bring deep, hands-on US RCM experience. Team credentials are shared during discovery.
What happens if your team makes an error?
We correct it, tell you about it, and fix the root cause so it doesn't repeat. Financial responsibility for errors is defined in your agreement.
How do you keep up with payer rules and code changes?
Your pod lead tracks payer policy and code-set updates relevant to your specialties and shares them with the team and with you.
What if someone on our pod leaves?
Your account never depends on one person. The pod is senior-led, your workflows are documented during onboarding, and colleagues in the pod already know your account.
Payers, AR & denials
How do you work AR?
Your pod works every open balance on a set follow-up cadence, by payer and aging bucket (0–30, 31–60, 61–90, 90–120 and 120+ days), with notes in your system and escalation of stuck claims.
How do you handle denials and appeals?
We fix the claim, appeal where it's warranted with written appeals and supporting documentation, and track denial reasons so recurring issues get fixed at the front end.
Do you check payments against our contracts?
Yes. Underpayment and contract analysis checks payments against your contracted rates or PPO fee schedules and follows up on shortfalls.
How do you post contractual adjustments and write-offs?
To your adjustment and write-off policy, which we document during mapping. Anything outside policy is routed to you for approval.
Do you handle secondary claims and patient balances?
Yes: secondary and tertiary billing, patient statements and, if you choose, patient billing calls.
What about overpayments, refunds and recoupments?
We identify them and route them to you for approval, so refunds are handled correctly and on time.
Do you handle payer letters and records requests?
Yes, when they're in scope. We agree how mail and correspondence reach us so nothing is just logged and left.
Credentialing
Do you handle credentialing and re-credentialing?
Yes: payer enrollment, re-credentialing, CAQH profile upkeep and payer contracting support for medical and dental providers, including PPO network participation for dental.
How long does credentialing take?
It depends on the payer, and timelines are set by payers rather than by us. We submit promptly, follow up persistently and keep you updated.
Who pays payer application fees?
Any fees charged by payers are the practice's. Our own fees for credentialing work are listed in your quote.
Dental billing
Do you verify dental benefits, including frequencies and waiting periods?
Yes. We verify benefits ahead of appointments (frequencies, waiting periods, maximums, history) and record coverage clearly in your practice software.
Do you handle narratives and attachments?
Yes. We write narratives and attach X-rays, perio charts and other documentation before claims go out, then follow up until they're resolved.
Can you handle pre-determinations and treatment-plan estimates?
Yes. Pre-auths and pre-determinations are submitted and tracked, and clear patient-portion estimates are prepared before treatment.
Do you check PPO payments against our fee schedules?
Yes. We flag underpayments against your PPO fee schedules and follow up with carriers.
Do you handle ortho billing?
Yes: ortho contracts, recurring claims and patient payment plans, kept on schedule month after month.
Do you work with DSOs and multi-location groups?
Yes. Pods scale with your locations and volume, and reporting can be broken down by office.
Can you bill dental procedures to medical insurance?
Tell us about your cases during discovery and we'll confirm how we can support medical billing for dental procedures.
Medical billing
Which coding do you handle?
CPT, ICD-10 and HCPCS coding, E/M levelling and specialty coding, along with charge entry and documentation checks.
Do you handle prior authorizations?
Yes. Requests are submitted, tracked and followed up so care isn't delayed.
Which payers do you work with?
Commercial plans as well as government payers such as Medicare and Medicaid, following each payer's rules for your specialty.
Do you offer transcription and virtual medical assistants?
Yes. Medical transcription and virtual medical assistants for remote front-office and patient tasks are both available.
Offboarding & data ownership
Who owns our data?
You do. Your data lives in your own systems, and we work inside them under your BAA. We never hold your data hostage.
What happens if we decide to leave?
We hand over open AR and work-in-progress with notes, your access credentials are revoked, and any PHI is returned or destroyed as your BAA requires.
What's the notice period? Are there exit fees?
The notice period and exit terms are set out clearly in your agreement.
Why offshore, why India
Why outsource to India?
Three reasons: cost, experienced talent and time zones. Our delivery center in India helps keep costs below a fully in-house department; our specialists bring deep, hands-on US RCM experience; and the time difference means much of the work can be processed overnight for you. More on Why India.
Are you transparent that the work is done offshore?
Completely. Your work is delivered from our secure center in Ahmedabad, India, by your dedicated pod. That's stated plainly in your agreement and on this site.
Will our practice notice we're working with an offshore team?
You'll have a named pod lead, work documented in your own systems, regular reporting and a US phone line to reach us. The goal is for the pod to feel like an extension of your own office.
